1. Who We Are
DocToSheet is operated by Gareth Peterson trading as DocToSheet, based in the United Kingdom. We are the data controller for personal data collected through our website (doctosheet.co.uk) and application (app.doctosheet.co.uk). You can contact us at hello@doctosheet.co.uk.

2. What Data We Collect
Account and billing data:
- When you sign up we collect your name, email address, company name, and billing information. Payment data is handled exclusively by Stripe and is never stored by DocToSheet directly.

Document content:
- When you upload documents for processing, the content of those documents is transmitted to our processing pipeline. This data is processed transiently and is not permanently stored by DocToSheet beyond what is necessary to complete the extraction and write the results to your Google Sheet.

Usage data:
- We collect basic usage data including the number of documents processed, credit usage, and timestamp information. This is used to operate your account and ensure fair usage.

3. How We Use Your Data
We use your data solely to:
- Provide and operate the DocToSheet service.
- Process payments and manage your subscription.
- Contact you about your account, service updates, or changes to these policies.
- Comply with legal obligations.
We do not sell your data to third parties. We do not use your document content for advertising or marketing purposes.

4. Third-Party Sub-processors
To deliver the service, your data is processed by the following sub-processors. Each operates under their own privacy and security policies, which we encourage you to review:
- Bubble.io (USA) — application infrastructure and account data storage. bubble.io/privacy
- Make.com (Czech Republic / EU) — automation processing. make.com/en/privacy-notice
- OpenAI (USA) — AI extraction via API. By default, OpenAI does not use API data to train its models. openai.com/enterprise-privacy
- Google (USA) — Google Sheets output and API services. policies.google.com/privacy
- CloudConvert (Germany) — DOCX to PDF conversion. cloudconvert.com/privacy
- Stripe (USA/Ireland) — payment processing. stripe.com/gb/privacy

5. Data Retention
Account data is retained for as long as your account is active, and for up to 12 months after cancellation for legal and accounting purposes. Document content processed via the pipeline is not retained by DocToSheet beyond the duration of processing. Extracted data is written to your own Google Sheet, which you control.

6. Your Rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you.
- Correct inaccurate data.
- Request deletion of your data (“right to be forgotten”).
- Object to or restrict processing in certain circumstances.
- Data portability — receive your data in a structured format.

7. Security
We take reasonable technical and organisational measures to protect your data, including encrypted connections (HTTPS/TLS), access controls, and use of established, audited third-party platforms. However, no system is completely secure and we cannot guarantee absolute security.

8. Cookies
Our application uses only essential cookies required for authentication and session management. We do not use tracking or advertising cookies. Our marketing website (doctosheet.co.uk) may use analytics cookies; you will be given the option to accept or decline these on first visit.

9. International Transfers
Some of our sub-processors operate outside the UK and EEA, including in the United States. Where data is transferred internationally, we rely on the sub-processor’s own transfer mechanisms (such as Standard Contractual Clauses or adequacy decisions) to ensure appropriate protection.

10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you by email at least 14 days before material changes take effect.
